In SuccessFactors Recruiting Management (RCM), the “multiattachment” and “multiattachmentselection” fields are used for handling attachments in requisitions, candidate profiles, or job applications. Here’s the key difference between the two:
File Types support: Commonly supported file types include DOC, DOCX, PDF, RTF, TXT, HTML, and various image formats (e.g., JPG, PNG).
Although both the field type serves the same purpose and that is to upload multiple document but the behaviour of these two are different.
multiattachment:
It allows recruiting users to upload multiple attachments to a specific field and users can directly upload multiple files when you want to collect multiple documents from candidates such as resumes, cover letters or other documents, through a file upload interface.
The uploaded files are displayed as a list under the field where the attachments were made.
It is defined in XML templates with the field type as “multiattachment”, allowing multiple files to be uploaded directly to that field.
multiattachmentselection:
It allows users/candidates to upload multiple attachments to a specific field and select multiple attachments from a predefined list or previously uploaded documents.
Instead of directly uploading new files, users/candidates can choose from a list of existing attachments, which might be uploaded in another part of the application or requisition process.
This field type is configured in XML templates as “multiattachmentselection” and involves specifying which documents are available for selection.
Summary:
“multiattachment” allows for new uploads, while “multiattachmentselection” is used for new uploads and also for selecting from existing files.
These fields allow for flexible handling of attachments in different parts of the recruiting process, tailored to specific needs like document upload or selection from available files.
In Candidate Profile:
Only “multiattachmentselection” field can be configured in the CPT and acts as a mini library where all documents uploaded are stored for later reuse. This means that there is an additional checkbox next to all uploaded files, and that checkbox must be selected to attach the document to the record.
If this field type is configured in the application with same “id” then the documents attached to the Candidate Profile will be copied into Application, when the candidate applies for a job.
And the Changes made on “multiattachmentselection” type of on application during the initial application are reflected to the field of type “multiattachmentselection” on Candidate Profile (But the field id should be same on both the template), but changes made to the application later during multi-stage applications will not sync back to the Candidate Profile.
In Job Application:
We can configure both “multiattachment” and “multiattachmentselection” fields in the application.
Only a recruiting user can upload documents for a field of “multiattachment” type, and they can also edit the field thereafter. However, candidates can’t view or upload documents for a field of this type. Multiattachmentselection needs to be used for candidates to view and upload documents.
For “multiattachmentselection”, both candidates and recruiting users can upload the documents if they have necessary write permissions. Most candidates aren’t familiar with this field behaviour, so this field should not be used in a candidate-facing configuration. Because, documents uploaded to multiattachmentselection fields on the candidate profile are automatically available in a field with the same field ID on the application; also, the applicant can delete the attachment if desired.
Once a document has been added to the field, it can still be removed by the candidate through the external career site.
How to configure an attachment field which will be copied into application?
There are basically three ways for configuration of attachment fields:
You can configure a field only in the Candidate Profile and not in the Application – the documents attached in the Candidate profile won’t be copied to the application.You can configure an attachment field in the Candidate Profile template and a multiattachmentselection field in the Application template using the same field definition id – in this scenario, the documents attached to the Candidate Profile will be copied into Application, when the candidate applies for a job.You can define the attachment field only in the Application template – the candidate will be allowed to attach documents only during the application.
The multiattachmentselection field type should be given write permissions in both the Candidate Profile and Application Template for the sync to work as expected.
Notes:
Recruiting users can edit the field (add or remove), if they have “write” permissions on the Redesigned Workbench only.
