In my last blog post, I announced the release of scheduled Metrics Reports for 2026 Q1 QRC, and now it’s time to take a closer look at how they help you stay on top of your data.

Keeping an eye on performance metrics is essential but manually checking them can quickly become time-consuming. With scheduled Metrics Reports in My Metrics, you can stay informed without the extra effort. By subscribing to a metrics report, you’ll automatically receive updates on changes in your selected metrics, delivered on a daily, weekly, or monthly schedule. Simply choose the recurrence pattern that works best for you and let the insights come to you right when you need them.

Below is a practical guide to what the feature does, how to set it up, common options, and tips for best results.

Why Subscribe to a Metrics Report?

Subscribing to a metrics report lets you receive regular, automated updates on metric changes without having to manually check stories. It ensures that teams and stakeholders get consistent snapshots of what has changed since the previous report, while giving you control over the delivery cadence and recipients, so insights arrive exactly when they’re most useful.

What You Need Before You Start 

Access to My Metrics and permission to create subscriptions (check your role settings).If you want recurrence based on working days, you must have a working day calendar defined in the underlying model. For details, see Use a Working Day Calendar for Your Series.Only metrics that come from tunnel connection type models are supported in the report (this connection allows controlled exposure of data outside the corporate network). For more information, see Live Data Connections to SAP S/4HANA.This feature is only available in SAP Analytics Cloud tenants running in the Cloud Foundry environment (not available in the Neo environment).

Quick Step-by-Step Setup

Open the metrics list you want to subscribe to in My Metrics.In list view, choose More (the ••• / menu) and pick Subscribe to Metrics Report.In the creation dialog, enter a Subscription Name (mandatory) and a Description (recommended). Note: the name can contain only letters and numbers no special characters. Click Next to choose the schedule.Define the recurrence pattern: Day, Week, or Month. If you use Working Day(s), pick the model that contains your working day calendar:DayChoose Day(s) or Working Day(s) and enter the frequency number (e.g., every 2 days).If you choose Working Day(s), select the model and calendar to define non-working daysWeekSet the number of weeks between reports.Choose one or more weekdays to run the report, or select Working Day and pick an ordinal working day (first, second, third, fourth, or last) from the calendar.When using Working Day, select the appropriate model and calendar if more than one is available. MonthDay option: specify a day number (1–31). If the month has fewer days than the number you entered, the report runs on the month’s last day.Working Day option: enter a frequency number or choose an ordinal working day (first, second, third, fourth, or last) of the month; select the model/calendar if required.You can also schedule by “nth weekday” (for example, the second Tuesday of each month).Examples: entering -2 schedules the report for the second-to-last day of the month; entering 31 schedules it on the month’s last day. Set the planned start date and time and when the recurrence should end (by end date or number of occurrences).Click Next and add at least one recipient in the Distribution List. You can select existing users or teams.Optionally uncheck “Send email notifications” if you prefer in-app notifications onlybelow an example of an email notification of a Metrics Report:                                                                                                 Save to create the subscription.

Other Important Details and Limitations

Each metrics report can include up to 15 metrics.The report only includes metrics that have changed since their last recorded value, this focuses recipients on recent movement.Sent reports are also accessible from in-app notifications.If you set recurrence on working day calendars, no report is sent on non-working days defined by that calendar.

Manage subscriptions

Manage Subscriptions lets recipients control how they interact with a metrics report and lets owners copy, edit, or delete subscriptions. Recipients can copy a subscription or change their notification settings; only the subscription owner can edit or delete it. You can also preview subscription details from the Manage Subscriptions dialog. Note that you need the correct permissions to perform these actions.

Accessing and filtering subscriptions

Open the metrics list in My Metrics, then choose MoreManage Subscriptions.Use the filter to show Active Subscriptions (default) or switch to All Subscriptions to see inactive ones as well. This helps you quickly find the subscription you want to manage.

Copying a subscription

Select a subscription in the Manage Subscriptions dialog and choose Copy Subscription.When you copy a subscription you duplicate its details but can change schedule or recipients. You become the owner of the new copy and it is independent of the original.

Modifying your notification settings

Recipients can mute or resume notifications for a subscription without affecting others. Steps:

Open the subscription, choose Notification Settings, then pick:Resume NotificationsMute Until: select a date and time to pause notifications until thenMute All Scheduled ReportsSave changes. Your choices apply only to your account and won’t change other recipients’ settings.

Editing a subscription (owner only)

Owners can edit name, description, schedule, and distribution list. Steps:

Open Manage Subscriptions, select the subscription, choose Edit Subscription, make changes, and save.Note: changing a subscription may trigger a new report schedule; recipients will be affected by edits.

Deleting a subscription (owner only)

Owners can delete one or more subscriptions from the Manage Subscriptions dialog.Deletion removes all recipients and cancels scheduled reports. Confirm deletion in the warning dialog to proceed.

Previewing subscription details

In Manage Subscriptions, select a subscription to view its details (description, schedule, end date, owner, distribution list).Use Preview to verify settings before copying, editing, or deleting.

Best Practices

Use descriptive subscription names in the Description field to clearly communicate the purpose and intended audience, since the subscription name itself supports only alphanumeric characters. Before rolling it out broadly, test the subscription with a small group of recipients to validate the timing and content. If your reports depend on working days, make sure the model’s working day calendar is correctly configured and that the appropriate calendar is selected when multiple options are available. Finally, choose notification channels thoughtfully, use in-app notifications for teams working primarily in SAC, and enable email notifications for external stakeholders or wider visibility.

You can quickly find and act on the correct subscriptions by using filters, making it easier to manage them efficiently. If you need similar reports, you can copy an existing subscription without changing the original setup. Notifications can be muted temporarily when a report is sent too frequently and resumed later as needed. To prevent confusion, owners should clearly communicate any edits or deletions to recipients. If management options are not visible, it’s important to verify permissions, as available actions depend on assigned roles.

Troubleshooting Tips

If recipients don’t receive reports, confirm you’re on a Cloud Foundry tenant and that recipients’ email addresses or user accounts are correct.If a metric you expect is missing, check that it’s based on a tunnel connection type model and that it changed since the last report.If the schedule doesn’t behave as expected with working days, review the model’s working day calendar and the selected calendar if multiple calendars are maintained.If you can’t edit or delete a subscription, confirm you are the owner and have the required role.If notifications don’t change after updating settings, re-open Manage Subscriptions to confirm your saved preferences.If recipients stop receiving reports after edits, check the distribution list and schedule settings.
